Villa Club have been renting and managing properties here in the Algarve for
the past fifteen years. We have over 18,000 villa and apartment rental bookings
to date, many repeat clients and contracts with major tour operators to the
Algarve, proving our property management is both well established and of consistent
quality.
By having your property rented and managed by Villa Club you have one point of contact. We have invested in the latest computer technology and aided by our in-house rental and property management system our trained staff have all the information available to answer your queries efficiently and without delay.
As the largest independent Rental Agency in this area, we are well positioned to achieve a good level of rental income. Our staff will advise and make recommendations on how to improve your property in order to maximise your rental bookings.
Property Management Service
Our property management service is designed to provide the right level of service for you and your property. The key element to our service is your Property Manager. Our property managers regularly inspect and systematically check on all aspects of your property.

Before we take on your property for management, your property manager will agree a schedule with you of items for regular inspection. This can include from checking irrigation settings to watering of internal plants.
In addition to your property manager you will also have your own maid who will visit the property once per week when the property is not occupied to carry out general airing and cleaning. This is to ensure the property is always in readiness for any last minute occupation.
Bill Payments
All bills presented to us such as electricity, telephone, pool and garden maintenance are paid by us on your behalf and then debited to your personal account. This service ensures that bills are paid promptly and we can attend to any necessary contact with the service provider. Each month you will receive an itemised statement of account.
Local Authorities
With our experience and local knowledge we can liaise with any of the local
authorities regarding your property. We can 'speed up' such items as telephone
installation or any other feature you wish to have added to your property.
Any legal matters or tax returns etc. can usually be referred to our advisors
at preferential rates. If you own an offshore company, by law you must appoint
a fiscal representative here in Portugal, which we can also assist you with.

All owners receive a free copy of our Central Algarve magazine and if you

Additional Services
Cleaning, Maid & Laundry Service
We provide a complete cleaning, maid and laundry service whilst you or your
guests are in occupation. Our housekeeping staff is backed up by our own 'on-site'
laundry facility and two-way radios keep them in constant contact with our main
office.
Daily maid service is charged at €9.50 per hour and laundry, if removed
to our laundry at €3.00 per kilo. Prices quoted are subject to IVA.
While Rented
If you decide to rent your property, we have a fixed charge per day occupied during the rental period. This charge includes for:- maid hours, cleaning products, general laundry (i.e. sheets/towels), travel time and IVA.

Window/Terrace Cleaning
A monthly visit will be made to the property to clean windows on the outside (where possible), clean terraces and carry out simple maintenance jobs e.g. change light bulbs where necessary. There is a fixed charge for this service, which will be debited to your account on a monthly basis. Prices quoted are subject to IVA. This service will automatically be performed once per month to properties within our rental programme.

Maintenance
Villa Club have a dedicated team of maintenance personnel able to carry out most minor repairs. Small maintenance work is charged at €30 per hour plus materials. There is a minimum charge of €90 for call out after 6 p.m. Authorisation will be sought for work that may exceed a cost of €250.
Pool and Garden
If you have a preferred garden or pool maintenance contractor, we are happy to continue with them and ensure they provide the service as per their contract. Alternatively we can arrange a good and reliable contractor to ensure that you are guaranteed a competitive price and a service which has been vetted by Villa Club.

Contract
Villa Club Property Management Contract
(Villa Club is hereinafter known as VC)
Bill Payment Service
(A) A credit balance must be kept on the owners account at all times sufficient
for the payment of bills to be processed. A balance of approx. 500 Euros is
usually sufficient.
i) VC cannot be held responsible for non-payment of bills if no funds are available.
ii) Whilst VC will endeavour to pay all bills before they become overdue, VC
will not be responsible for the late payment of bills where this is beyond their
reasonable control. Neither will VC be responsible for any consequential losses
incurred by the owner as a result of non- payment of any bill.
iii) VC will take reasonable care to ensure that bills are paid when due and
in cases where bills are under 250 Euros, we will use our discretion in settling
them. Otherwise if they are not the normal bills such as electricity etc. we
will seek your authorisation
iv) If VC perceive some doubt as to whether the owner will accept a particular
charge, then VC may attempt to clarify matters by contacting the owner, the
cost of which must be borne by the owner.
v) The quarterly service fee will be debited to the owners account without notice
during the quarter in question.
vi) As long as reasonable notice is given VC will make any payment on written
request from the owners up to the value of the owners credit balance.
vii) A file will be kept of the supporting documents of entries made to an owners
account. This file is available for inspection by the owner at VC offices with
reasonable notice during normal office hours. If the owner wishes to have the
documents forwarded, this will be done by normal post and the cost will be borne
by the owner.
viii) If the owner's balance is in debit for any reason, it is accepted that
reasonable commercial interest may be charged on the value outstanding at the
discretion of VC. Also the owner accepts that the cost of any reminders and
telephone calls to restore the account to credit will be at the owners cost.
ix) A regular statement will be sent to the owner by post or fax. The owner
should raise queries within 30 days, failing which VC will assume account entries
to be correct.
Other Management Conditions
(B) The owner will provide to VC all information regarding the property (see
attached sheet).
i) The owner will provide a complete set of keys to the property. If renting
VC will require three sets of keys to the main doors only. VC if required will
copy keys and charge to owners account.
ii) If VC are to provide maid and laundry services to guests or rental clients
the owner will provide a minimum of three sets of bed linen and towels. (Bath
and hand Towels).
iii) VC will undertake any small repairs up to the value of €250 and will
charge to the owners account. For any major work or repairs VC will obtain quotations
and advise the owner before work is commenced. VC may charge the owner for any
work carried out in cases of emergency outside normal office hours.
iv) The owner gives authorisation for VC staff and agents to enter the property
to undertake their work on the property as required.
v) Before VC undertake the management of the property the owner will have to
provide a complete inventory of the contents. After checking, both parties will
keep a copy.
vi) This contract does not replace any rental contract that the owner may have
with VC
Minimum Account Balances
The following amounts should be maintained on account at all times to enable the smooth payment of bills and ensure the continuation of services:-500 Euros (to be adjusted as necessary)
If your account has inadequate funds to sustain your level of expenditures and, as a result, we are obliged to contact you, we reserve the right to charge additional telephone and administration costs in respect of this work. Similarly this will apply in cases where owners have services such as electricity and telephone disconnected through non-payment or neglect.
